General Summary of Position:
The Digital Media Program is seeking a part-time Equipment and Facilities Coordinator to support the daily operation of its equipment cage, computer labs, production spaces, and related instructional facilities.
The coordinator will oversee equipment circulation, inventory management, facility access, student employees, and technical coordination. The position requires an in-person campus presence of approximately 18 hours per week, with limited remote availability to respond to urgent operational questions.
Responsibilities
- Supervise the daily operation of the Digital Media equipment cage.
- Oversee equipment check-out and check-in procedures and ensure accurate tracking of equipment usage, condition, and return status.
- Maintain an organized and up-to-date inventory of cameras, audio equipment, lighting equipment, accessories, and related program resources.
- Work with student assistants to maintain and update the inventory management system.
- Coordinate the repair or replacement of damaged, missing, or malfunctioning equipment.
- Assist faculty and students with equipment requests, access questions, and basic technical needs.
- Oversee the schedules and work of approximately four to five student assistants.
- Ensure that the equipment cage is appropriately staffed throughout the week and during established operating hours.
- Maintain regular communication with student assistants and schedule periodic meetings to review operations, concerns, and needed updates.
- Respond, in person or remotely as appropriate, to questions, emergencies, and operational needs related to equipment, facility access, and program spaces.
- Communicate with UCAPS and coordinate card access for students and faculty to MAH 100, MAH 101, MAH B20, and MAH B24.
- Ensure that Digital Media classrooms, labs, and production facilities are prepared, organized, maintained, and functional.
- Communicate with IT Classroom Support regarding software needs, computer maintenance, and technical concerns in MAH 100, MAH 101, MAH B20, and MAH B24.
- Identify and recommend improvements to equipment circulation, inventory management, staffing, facility access, and operational procedures.
- Assist with at least one recruitment or outreach event each semester, such as an open house, Welcome Day, high school visit, or related program event.
- Provide administrative and operational support to the Digital Media Program Director.
- Communicate facility concerns, equipment issues, staffing needs, and operational updates to the Program Director.
Minimum Qualifications
- Bachelor’s degree or an equivalent combination of education and relevant professional experience.
- Experience working with audio, video, lighting, or digital media production equipment.
- Experience with inventory management, equipment circulation, media facilities, computer labs, or related technical operations.
- Strong organizational, communication, and problem-solving skills.
- Ability to supervise and coordinate student employees.
- Ability to work independently, manage multiple responsibilities, and respond appropriately to urgent operational needs.
- Availability for approximately 18 hours of in-person work per week.
Other Considerations
- Experience working in a university, media lab, equipment cage, production studio, or instructional technology environment is preferred.
- Familiarity with cameras, audio systems, lighting equipment, editing software, access-control systems, and computer lab operations is desirable.
- Some schedule flexibility may be required to address facility needs, staffing gaps, recruitment events, or urgent equipment concerns.
- The position requires regular coordination with faculty, students, student employees, UCAPS, IT Classroom Support, and the Digital Media Program Director.
