General Summary of Position:

This being an internal opportunity, only current UML Employees, irrespective of Bargaining units are eligible to apply for this position.

The Projects & Contracts Coordinator coordinates key initiatives for the Research & Innovation office, including the processing of all Research Assistant contracts, student grant fellowships, symposiums, and purchase-related activities.

1. Manage and process Research Assistant Contracts:

  • Manage RA contracts for the Office of Research and Innovation (R&I)
  • Assurance that research funds are available by using Summit to see project dates and budget and work with Payroll, Sponsored Programs, and Provost’s offices to ensure timely payment and processing of contracts
  • Generation of RA tuition contribution and appropriate fund transfer
  • Correct all revisions when funds used for payment are changed
  • RA Data analysis report for Vice Chancellor, Provost, and other offices as needed, faculty reports as needed

2. Assist with Faculty and Student Symposiums and other R&I Events:

  • Collect data and organize information for the Faculty Symposium Awards (publications, journal articles, conference proceedings, book authorships, research expenditures, faculty awards, etc.)
  • Collect and organize student abstracts for student symposium
  • Solicit and organize faculty and student presentations (lightening talks, poster competition and student awards)
  • Manage software systems (Digital Measures, LibGuides) and UML/Research website
  • Collaborate with faculty, students, R&I, Provost’s office, and other key personnel needed to meet symposium goals

3. Manage and Process Grant Student Fellowships:

  • Initiate paperwork to process student fellowships based on grant’s award terms
  • Work with Payroll, Colleges, Financial Aid and the Budget Office to process payment and tuition/fees in a timely manner
  • Compile and generate data for semester review

4. Assist with the fiscal and administrative activity of the department:

  • Maintain office supply inventory, order office supplies and promotional materials
  • Assist with Buyways-related activities:
    • Enter requisitions and follow up on the creation of purchase orders.
    • Submit invoices and close purchase orders.
    • Assist vendors with inquiries
  • Assist with the Year-End closing of the purchase orders
  • Assist with Concur-related activities:
    • Reconcile transactions and expenses
    • Submit request for travel requests and event/expense prior approval forms

5. Other Activities: 

  • Supporting the Vice Chancellor and assistant to the Vice Chancellor with various office duties and other projects, as assigned
  • Helping faculty, staff, and students with issues that require resolution
  • Help with collection of institutional data for annual federal reporting (e.g. HERD, Graduate Students, etc.)

Minimum Qualifications (Required):

Education:

  • Bachelor’s Degree

Experience:

  • 3 to 5 years working in an administrative capacity, preferably in a University setting.  

Skills:

  • Must have proficiency in Word, Excel, PowerPoint and Outlook.  Must be a self-motivated individual with problem solving skills.

**Will consider candidates with an Associate’s degree or equivalent education and 5-7 years of experience.

Additional Considerations:

  • Demonstrated experience with PeopleSoft, Summit
  • Experience with data analysis, record keeping and some business management
  • Flexibility and eagerness to learn new things
  • Strong communication and interpersonal skills
  • Must be able to work with faculty and staff from different departments
  • Ability to work in a team-oriented and collaborative environment
  • Capability to communicate professionally with a broad range of external and internal people - Ability to work on multiple, diverse tasks and to troubleshoot and solve “customer problems” in a timely manner.
  • Requires discretion in handling confidential information.
