General Summary of Position:

The Manning School of Business at the University of Massachusetts Lowell seeks a highly organized and detailed oriented Student Activities Coordinator to join our team. The Student Activities Coordinator supports student leadership organization activities including coordinating student conference trips including arranging flights, hotel and conference registration.

Job Duties:

Support Student Leadership Organizations:

  • Coordinate student organization events and workshops by reserving rooms, delivering materials, and notifying students.
  • Assist student leadership organizations with technology issues, including conference room audio-visual setups and Microsoft Office requests.
  • Support special projects as needed.
  • Proficient in using Suitable (Student Engagement Software).
  • Establish and grow new student organizations while enhancing student engagement activities.
  • Maintain clear and effective communication regarding student activities and events.
  • Advise student leaders and organizations on best practices for founding, maintaining, and ensuring the succession of clubs, increasing membership, and adhering to college policies.
  • Provide leadership development, advisor training, policy guidance, and budget and event planning support for student organizations.
  • Collaborate with the Marketing team to efficiently distribute information to students through publications and social media

Coordinate International and Domestic Student Conference Attendance:

  • Coordinate both domestic and international student conferences, including managing flight arrangements, hotel accommodations, and conference registrations.
  • Supervise and mentor student interns.
  • Advise student leaders on pursuing club-related external events, such as conferences.
  • Prepare travel summaries and organize pre-travel preparation meetings with students and advisors.
  • Process student and faculty travel and reimbursement requests through Concur.

Other office duties to include:

  • Track, compile, and report activity summaries for student leadership organizations.
  • Provide support to the Dean’s Office for special events as needed.
  • Prepare financial reports for student leadership organizations for meetings and financial record reconciliation.
  • Prepare materials, documents, and reports; compose correspondence as necessary.
  • Purchase items needed for student events and programming.
  • Maintain records for student leadership organizations.
  • Oversee and manage the calendar of events for student leadership organizations.
  • Offer innovative ideas and implement new program initiatives.
  • Create and edit documents using Microsoft Word, Excel, SIS tools, mail-merge, and other software.

This is an SEIU 888 Professional Union position, Grade P16.

This is a 50% FTE benefited position, 18.75 hours/week.
