General Summary of Position:

The Manning School of Business at the University of Massachusetts Lowell seeks a highly organized and detailed oriented Program Administrator to join our team. The Program Administrator supports the initiatives of the Wilson Center for Entrepreneurship, Donahue Center for Business Ethics and the MEI Department. The Program Administrator coordinates special events, ceremonies, speaker series, meeting/webinars as well as manages the daily office activities for including contract preparation, financial and budget reporting, training and presentations. Experience in program administration for entrepreneurs and business leaders is preferred.

Job Duties:

Program Planning/Collaboration:

  • Support strategic initiatives for the Wilson Center and Global Entrepreneurship Program.
  • Assist in the strategic planning and execution of Donahue Center initiatives, such as the Distinguished Speaker Series and Ethics Fest.
  • Develop and execute Ethics Fest for the Donahue Center for Business, with approximately 250 students and 21 engagement stations.
  • Serve as Program Coordinator for the GE2 Entrepreneurship & Innovation summer immersion program, overseeing cross-cultural teams in a two-week intensive to create a small business.
  • Coordinate initiatives for the Manning Sales Hub, including student conference participation and corporate visits.
  • Manage the end-to-end coordination of sales initiative events and speaker panel meetings.
  • Recruit, hire, and train student interns.
  • Collaborate with various university departments to organize cross-university events, including distinguished speaker engagements and panel discussions. • Establish and maintain relationships with key stakeholders and vendors.

General office duties and departmental support activities:

  • Handle budgeting and bookkeeping activities.
  • Process faculty travel and reimbursement documents via Concur.
  • Assist with events, conferences, and workshops by booking rooms through the online system, delivering materials, and notifying students.
  • Coordinate with UCAPS to secure guest parking codes for visitors and guest lecturers.
  • Submit Facilities service requests, including maintenance, phone, and key requests.
  • Manage and respond to emails and phone calls, researching issues before addressing them with the Chair, Director, or Faculty.
  • Create and modify documents using Microsoft Word and Excel, including SIS tools, mail-merge, and other PC software.
  • Assist faculty members in resolving technology issues, including conference room audio-visual setups and Microsoft Office requests.

Operational:

  • Develop and implement processes for efficient record-keeping.
  • Establish and manage procedures for all aspects of new programs and initiatives.
  • Create and oversee program budgets, ensuring effective allocation of resources.
  • Administer various departmental functions, including budgeting, planning, purchasing, marketing, scheduling, and overseeing vendor payments.
  • Clearly communicate complex operational directives.
  • Collaborate with the Business Manager to effectively market events

Minimum Qualifications (Required):

  • Bachelor’s degree with a major in business administration/marketing and 5-7 years of related experience.
  • Will consider candidates with an associate’s degree or equivalent education and 7-9 years of experience.

Additional Considerations:

• Prior experience working in an academic office environment
• Experience in program administration for entrepreneurs and business leaders
• Proficient with Microsoft 365, SIS, PeopleSoft Software, including finance & H.R. applications
• Strong Organizational Skills
• Strong interpersonal skills & ability to interact with students, faculty, administrators & general public
