General Summary of Position:

This being a promotional opportunity, only current UML Employees within the same Bargaining unit are eligible to apply for this position.

The Program Manager will manage the Immersive Scholars program and support the operational management of River Hawk Scholar Experience Distinction, Moloney Student Scholars, service learning and additional experiential learning programs. The Program Coordinator will be managing key operational work as assigned by the Assistant Director, Experiential Learning Signature Programs. The Program Coordinator will implement and maintain administrative systems, program assessment activities and support day-to-day tasks related to programs including recruitment, enrollment, administrative support, marketing, student advising, and additional tasks as related to the programs.

Program administration (recruitment, enrollment, assessment):

• Coordinate marketing and outreach to the campus community.
• Manage Immersive Scholar program communications, tracking and Student Symposium assignments
• Coordinate student hiring process for internal and external employers participating in Moloney Scholars and Immersive Scholars programs
• Work with Assistant Director to assess effectiveness of Experiential Learning Signature Programs
• Respond to phone & email inquiries in a timely manner.
• Compose communications to students regarding their program engagement status.
• Ensure compliance with financial aid policies and employment policies.
• Present program overviews to current and prospective students.

Student advising:

• Advise students on experiential learning options based on student goals.
• Supervise Experiential Learning Signature Programs student interns
• Support participating students while engaged in an experiential learning program.

Data management:

• Develop systems utilizing University Systems including Salesforce, SiS, Handshake and JobHawk
• Maintain tracking processes to ensure organization of student engagement and host site partnerships.
• Update participant files as needed.
• Prepare participation reports and assist in the assessment of student outcomes.

Departmental operations:

• Ensure that hours and program requirements are tracked and fulfilled.
• Coordinate with campus partners including Student Employment, Financial Aid, Registrar, Provost’s office, and Employer Relations to ensure policy and procedural compliance, and host site engagements are monitored.
• Coordinate committee meetings.
• Work closely with others to plan and manage events.
• Prepare materials for marketing, orientation, and annual reports.

Other Job Duties:

• Assist in ensuring all policies and procedures are upheld.
• Attend and participate in team and department meetings.
• Maintain an open line of communication bringing all questionable or “red flag” situations and matters to the Assistant Director or Director.
• Assist in the efficient execution of operations of programs.

Minimum Qualifications (Required): 

  • Bachelor’s degree or higher
  • 2 years or more of administrative support experience
  • Experience in higher education, working with college students or working with experiential learning programs is highly desirable
