General Summary of Position:
This being an internal opportunity, only current UML Employees, irrespective of Bargaining units are eligible to apply for this position.
This position supports the pre- and post-award research administration of grants and contracts for assigned units across the campus within the Francis College of Engineering. This position will assist researchers with the submission of research proposals for external funding and with the financial and non-financial management of grant awards and contracts. This position liaises with the Office of Sponsored Programs (OSP) on behalf of the principal investigators they are assigned to support.
1. Proposal Development:
- Assist faculty with the preparation of proposals for submission to the Office of Sponsored Programs (OSP).
- Liaise with OSP on revisions and action items required prior to approval and submission by OSP. Responsibilities include:
- Provide full departmental-level support for large multi-disciplinary proposals.
- Work with College leadership to advertise and determine which proposals to support (e.g., budgets > $1M). Duties include:
- Reviewing and interpreting proposal guidelines
- Advising faculty on sponsor policies and requirements
- Checking proposal compliance with university and sponsor regulations;
- Preparing and approving budgets in accordance with university and sponsor policies and rates;
- Helping faculty develop supplemental content such as bio-sketches, data management plans, and facilities descriptions.
- Provide full proposal support for the first proposal submitted to OSP by faculty; help them understand process and tools available to them.
- Be a resource for PIs using Kuali/RES and other proposal and grant management tools
2. Award Management:
- Help PIs determine allowability and availability of funds for, and initiate requests for, activities such as;
- cost transfers
- additional compensation requests
- hiring/personnel action forms
- Remind and help PIs respond to post-award monitoring needs (reports, closeouts, etc.) and identify potential overruns on sponsored projects
- Assist PIs in completing time and effort cards, serve as point of contact/liaison for time and effort reporting in the college
- Assist PI with payroll, postdoc, and student contracts
- Assist faculty with Unified Procurement Services Team (UPST) on purchasing, accounts payable, and bid execution (sourcing)
3. Opportunity Identification:
- Help update college webpage related to research activities.
- Collect content and identify funding opportunities related to college thrust areas of research; train faculty and staff to use funding opportunity databases.
4. Present seminars, workshops, videos, and job aids:
- Help ADR with data mining and data synthesis for reports and presentation.
- Prepare quarterly reports on sponsored project activities – proposals, awards, and spending.
- Support ADR with dissemination of information on sponsor and university policies and procedures for grant and contract funding and award management.
