Financial Administrator - Student Engagement

General Summary of Position:

The Financial Administrator for Student Engagement will provide oversight and day to day management of the financial operations for student clubs and organizations recognized by Student Government Association, Graduation Student Association, and Differencemaker, as well as specific departments within Student Engagement. This role establishes and maintains an active, engaged presence to sustain and grow strong collaborative relationships within Student Affairs. This role will exercise independent judgement and act on behalf of the Student Affairs in representing the university.

Specific Responsibilities Include: 

  • Financial operations of student engagement accounts – ecommerce management, cash management, journal processing, account reconciliation (operating, restricted, unrestricted accounts), departmental bank card reconciliation, contract management, and travel coordination. Monitoring of internal controls, liability, and risk management. Account reconciliation across financial systems. Create new accounts as needed to maintain business operations.

  • Financial reporting and forecasting – Maintaining accurate financial reporting and forecasting on over student clubs, student organizations, and student programs. Individualized reporting for departmental budgets, both operating and discretionary, on a monthly and quarterly basis. Provide trend analysis and reporting on student spending for various programs.

  • Development of programs – development and presentation of trainings on financial processes and guidelines for student groups and professional staff, develop and maintain processes in accordance with university guidelines and state policy . Promote fiscally smart practices to student organizations.

  • Customer services and documentation - Provide high-quality, front-facing customer service to student organizations, professional and student staff, as well as faculty ensuring clear, consistent support and communication. Gatekeeper  on university policy, university procurement systems, and state procurement laws. Maintain compliant financial records for business operations with state and university policies. Supervise student employees in general accounting and procurement functions.

  • Financial Analysis – Analyze spending and revenue for trends, establish needs of operation and provide recommendations for streamlining processes, provide insight into setting financial projections.

Minimum Qualifications (Required):

  • Bachelor's degree in Business or related field
  • 3-5 years’ experience in basic accounting and procurement
  • Professional experience in accounting, budgetary control, long range planning, billing and collection, payable and receivables
  • Proven knowledge and ability to use Excel, and Microsoft Office Suite, budget and financial management software, P.O.S. software applications and online third-party credit card system
  • Written and oral communications skills

    *will consider candidates with HS Diploma or GED/equivalent plus 7-10 years of directly related experience.

Preferred Qualifications: 

  • Ability to work effectively with professional, clerical, maintenance, student, and contracted personnel.
  • Knowledge and ability to utilize University technical systems and PC programs to monitor and administer budgetary responsibilities.
  • Ability to plan, organize and complete assigned responsibilities in an efficient and thorough manner.
  • Ability to prepare reports and maintain accurate records of all budget related materials.
  • Proven ability and experience in budget management and auditing.
  • Previous higher education administration experience particularly in Student Activities areas.  
  • Experience supervising student employees
  • Familiarity with State purchasing, RFP, and contract services.
