General Summary of Position:

Provide administrative support to the Psychology Department. In particular, provide support to the Department Chairperson as well as to the Graduate Programs and graduate students, assist with management of budgets and resources, prepare and submit required forms for Chairperson, schedule meetings and events, and maintain Department web presence and other files.

Assist the Department Chairperson by collecting, preparing, and updating department documents, including annual faculty documents (sabbatical, workload, promotion and tenure, merit, etc.), internal documents (Department meeting minutes, Department policies and forms), and other reports. Prepare Department announcements and letters as needed. Maintain and update department webpages and social media.

Assist the Department Chairperson by scheduling the Chairperson’s meetings and other Department meetings. Attend Department meetings. Assist the Department Chairperson with other office duties as needed.

As directed by the Chair, provide support to the Department’s three graduate programs (the PhD Program in Applied Psychology and Prevention Science; the Master’s Program in Applied Behavior Analysis and Autism Studies; the Master’s Program in Community and Social Psychology) by processing TA/RA contracts, maintaining applicant and current-student records, managing graduation tracking, and answering inquiries about the programs.

Assist in the management of Department budgets by managing spending and processing reimbursements for graduate programs and graduate students. Support faculty research by serving as the liaison between the Department and the Office for Research Administration and assisting faculty with pre- and post-award paperwork and budgets. Help to maintain Department facilities, including offices and research laboratories, by coordinating maintenance, repair, upgrades, etc.

Answer phone and email inquiries from faculty, staff, students, and others and assist walk-in visitors with questions and requests. Support faculty searches and visiting speakers by preparing itineraries and corresponding with visitors regarding travel.

Perform other related duties as assigned. Attendance at evening events for the Department and College may be required.

Minimum Qualifications (Required):

  • HS Diploma or GED/equivalent plus 3-5 years related experience
  • Demonstrated experience with computer software including word processing, spreadsheets, database systems

Preferred Qualifications:

  • College degree preferred
  • Experience working in a university setting desirable
  • Experience with PeopleSoft Financials and SIS desirable
  • Demonstrated ability to consistently meet daily, weekly and monthly deadlines
  • Demonstrated ability to write well

This is a SEIU 888 Professional Union position, Grade P15.
