General Summary of Position:

The position provides business operations varied administrative support to the facilities department. The position has strong customer service functionality and requires extensive computer and financial skills to assist with the management of payment of university utilities. The Facilities Business Operations Assistant will perform a variety of administrative tasks, which may include managing phones and emails, receptionist duties, analyzing and reviewing utility bills to ensure the prompt and accurate payment of the university’s $10M utility expenses. They must be able to visualize the big picture independently with minimal supervision and direction, anticipate needs of Facilities staff, and work well with a range of personalities. Strong organizational, communication, multi-tasking, and proofreading skills are essential.

The department of Business Operations is responsible for providing comprehensive day-to-day support to the complex business functions necessary to support the Facilities Management Department which includes the Associate Vice Chancellor and the offices of Planning, Design and Construction and Operations and Services. The Facilities Service Center is included in the Business Operations department and this position provides key support to the Service Center Team.

This is a part-time, on-site position with some flexible working hours. The specific schedule may vary based on the needs of the organization.

Minimum Qualifications (Required):

  • High School Diploma or GED/equivalent; additional education or relevant certifications are a plus
  • 1-3 years administrative or facilities support experience with accounts payable a plus
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Proficient in MS Office applications including Excel and basic knowledge of office equipment

Additional Considerations:

  • Associate degree in accounting or related field
  • Experience in processing invoices
  • Experience in a call center
