Job Summary

The Associate Director of Athletics - Facilities, Operations & Events is a member of the department’s leadership cabinet. The Associate Director is responsible for the oversight and management of the department’s capital projects, facility management/preventative maintenance and event operations efforts for all 21 intercollegiate varsity sports within the Division I FBS program. They provide leadership and planning for all facility projects and serve as sport program administrator for assigned sport programs.

 

Essential Functions

  • Serves on department leadership cabinet; provides strategic direction, decision-making, and formulates policy while maintaining confidentiality on specific department matters. Serves as primary department liaison with important constituent groups.
  • Responsible for the overall leadership and oversight of all athletic facilities, maintenance, vehicles, and renovations, including scheduling of varsity athletic practices and games.
  • Serves as the sport program administrator for assigned sport programs, providing leadership with goal setting, personnel and performance management, budget planning and monitoring, and overall program support.
  • Supervises 6-8 athletic facilities maintenance staff, 2 Assistant Directors of Event Management & Facility Operations.
  • Directs oversight of game operations and event management for varsity sports. Administers the conduct of all regular season and post season home competition. Responsible for oversight and execution of all conference tournaments, post-season championships, and special athletic events.
  • Oversees and acts as project manager for capital projects. Serves as manager of card access system for all athletic facilities. Liaises with physical plant, UMPD, and environmental health and safety departments. Serves as the primary liaison with management company of Mullins Center with regards to game and practice scheduling. Responsible for creation and revision of athletic facility master plan on an annual basis.
  • Oversees and maintains athletic facility budgets. Develops and implements a complete equipment inventory, preventative maintenance plan, and replacement schedule. Maintains records of all repairs of equipment and facilities. Oversees athletic key inventory and distribution system. Maintains check in and check out policy for the athletic department. Meets with vendors and secures quotes for repairs, maintenance and renovations. Prepares bid documents as needed.
  • Serves as primary liaison with Campus Recreation in budget management, student events, and facility scheduling.
  • Oversees work order system as it relates to athletic projects, repairs, etc. Responds to after-hours calls and schedules regarding facilities, including coordinating after-hours contractors, lockouts, alarms, inclement weather activities, and other emergency support. Develops emergency plans and procedures.
  • Coordinates office/locker room cleanings, repairs, and space planning, including execution of departmental moves.  Responsible for hiring, training, supervising, and evaluating all athletic facility maintenance staff and facility management interns.
  • Understands responsibilities with respect to Title IX, Clery, and other compliance requirements.
  • Demonstrates capacity, skill, and willingness to engage students and contribute to student success.
  • Works collaboratively with other campus stakeholders to fulfill the mission of Student Affairs and Campus Life by scheduling campus events held in athletic facilities.

Other Functions

Performs related duties as assigned or required to meet Department, Executive Area/Division, and University goals and objectives.

 

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor’s Degree in Sports Management or related field.
  • More than 5 years' relevant experience in a collegiate, professional, and/or minor league sports setting.
  • Demonstrated knowledge of the day-to-day operations of an intercollegiate athletics department.
  • Staff supervisory experience.
  • Ability to establish and maintain effective working relations with various constituencies.
  • Knowledge of NCAA rules and regulations and event management scheduling software.
  • Ability to work nights, weekends, and holidays.
  • Strong organizational, interpersonal and communication skills (both oral and written).
  • Perform accurate, detail-oriented work and manage multiple tasks.
  • Working knowledge of Microsoft Office Suite.
  • Valid Class D MA Driver’s License within first 30 days of employment.
  • Ability to act independently and exercise sound judgement.

Additional Details

The position is typically for three years, with the possibility of reappointment.

 

Work Schedule

Monday - Friday, 40 hours per week. Evenings, weekends and holidays may be required depending on the demands of the position.

 

Salary Information

Salary Commensurate with experience.
