Job Summary

Provides staff support for College of Nursing (CON) academic programs.

 

Essential Functions

  • Provides administrative support to assigned CON programs by assisting with student enrollment, progression, retention, withdrawal, graduation, advising assignments, and other program and student needs. Meets individually with students and provides information and guidance regarding their plans of study, registering for classes, and future course planning. Provides assistance with student credentialing and student journaling using college specific software in assigned programs. 
  • Fields inquiries received via telephone, email, walk-ins, events and other sources about assigned programs. Replies quickly and accurately to inquiries and refers questions and leads to appropriate persons. Keeps accurate and timely records of inquiries received and communication with prospective and current students.
  • Assists with event planning related to assigned programs (e.g. information sessions, workshops, video conferences, New Student Orientation, Pinning/Commencement activities, research events, etc.) in collaboration with Program Directors and other College of Nursing staff.
  • Provides updated information for program web pages, brochures, student handbooks and other documents related to assigned programs. Prepares paperwork, forms, and correspondence for assigned programs. Maintains organization, completeness, and security of student and program documents and files for the College of Nursing.
  • Acts as CON liaison with University Without Walls Admissions, Undergraduate Admissions, and/or Graduate School for assigned programs. Tracks and organizes application spreadsheets, schedules and books rooms for candidate interviews, prepares files for faculty interviews, mails accept/deny/wait list letters to students as necessary.
  • Updates and maintains CON database to accurately record student plans of study and enrollment data. Retrieves and provides data regarding applicant numbers, admission totals, and projected student enrollment for the CON academic schedule as well as for financial reports, national reports, grant proposals, accreditation documents, and other projects.
  • Provides clerical and staff support to assigned CON committees, task forces, and groups. Assists committee/meeting Chair in preparing meeting agendas, distributes agendas to members, compiles and distributes meeting minutes after approval by Chair, and ensures that all committee agendas and approved minutes are filed in the appropriate location.
  • Works with Academic Affairs team to develop and maintain procedures to support assigned programs.

 

Other Functions

  • Provides backup support, with supervisor’s guidance/cross-training, during support staff vacations, illnesses and other absences to assist in maintaining key academic support functions for the College. 
  • Performs other duties as assigned.

 

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • High School Diploma and two (2) years of full-time (or equivalent part-time) experience in office work.
  • Ability to work independently and with considerable initiative. Excellent time management and organizational skills.
  • High level of knowledge and understanding of the English language, including (but not limited to) spelling, word meaning and usage, punctuation and proper grammar; ability to read, write and comprehend English.
  • Able to understand and adhere to rules regulations, policies and practices.
  • Able to work accurately and in a highly organized manner.
  • Capacity, skill, and willingness to engage and support students and contribute to student success and graduation.
  • Able to multi-task and prioritize daily tasks and complex projects with strict time deadlines in a setting which can include many interruptions.
  • Ability to seek out and utilize available resources.
  • Excellent customer service skills, including oral and written communication.
  • Able to maintain harmonious working relationships and to work with others in a diverse community.
  • Office computer skills, including word processing with mail merge and tables, Outlook calendar, spreadsheets with formulas, filtering, graphs presentation software, email, web browsers, and familiarity with updating databases such as File Maker Pro or MS Access.
  • Ability to maintain privacy and confidentiality of records and verbal and written communications as appropriate.
  • Knowledge of general office practices, including email, internet and familiarity with standard office machines (e.g., copier, scanner, fax), with the ability to quickly learn new software/technology.

 

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Associate's Degree in Business Administration or related field of study.
  • Experience working in an institution of higher education.

 

Physical Demands/Working Conditions

  • Able to lift and move boxes, office supplies, etc., weighing up to 30 pounds.

 

Work Schedule

  • Monday - Friday, 8:30am to 5:00pm.
