General Summary of Position:

The office of Human Resources and Equal Opportunity and Outreach invites applications for the position of Human Resources Assistant.  The Human Resources Assistant coordinates the flow of incoming visitors by determining the nature of service, resolution of general inquiries or referring to the appropriate staff member.  Assists with verification of hiring paperwork, benefit information and providing phone, email and mail support. 

Essential Job Duties Include:

  • First point of contact for incoming visitors will receive, respond and resolve routine issues for HR/payroll services from faculty, staff and students. Answering telephone calls, reviewing and sorting mail, responding to emails, monitoring and responding to HR inbox emails, printing and distributing to appropriate area, triaging calls and taking messages as needed.
  • Verifying and completing I-9 verification information via I-9 Tracker system for all employees including staff, faculty and students, including resolving issues with validity of I-9 forms and follow-up as needed.
  • Processing incoming personnel action forms both electronic and paper for temporary and student hires, date stamping, ensuring proper documentation is provided, and emailing individuals as needed to ensure receipt of missing paperwork.  Ensuring critical deadlines are observed.  Maintain and monitor pending files and tracking system.
  • Receives and responds to inquiries regarding general HR, payroll and benefits.

Minimum Qualifications (Required):

  • Education: High School Diploma or G.E.D./equivalent
  • Experience: 3-5 years of administrative experience
  • Demonstrated ability to communicate effectively handling confidential information
  • Ability to work independently
  • Demonstrated experience with computerized office applications including word processing, and spreadsheets, Microsoft Office

Preferred Qualifications:

  • Familiarity with PeopleSoft
  • Experience in Human Resources and Higher Education preferred
  • Notary Public preferred
