General Summary of Position:

The Office Coordinator coordinates payroll related matters, ensures that office equipment is running smoothly and prepares departmental reports and mailings in a timely manner.

Job Duties:

  • Tracks student hours on payroll and forwards reports to supervisors on a biweekly basis. Troubleshoots/resolves all issues related to payroll.  Brings issues to attention of supervisors.
  • Assists in the supervision of student office assistants and acts as back-up as needed
  • Maintains, tracks and orders office supplies.  Resolves related problems.  Creates and manages purchase orders.  Prepares and pays vendor invoices.  Prepares monthly ProCard reports in compliance with UMass Lowell audit standards.
  • Registers staff for professional events, assists with travel arrangement and maintains professional memberships.  Processes related vouchers and tracks business receipts.
  • Prepares department reports, manages outreach packages and large mailings
  • Assists with preparation of department events
  • Works with vendors to maintain office equipment and order supplies
  • Assist with projects as needed

Other Job Duties:

  • Performs other related duties as assigned

Minimum Qualifications (Required):

  • Bachelor’s Degree preferred (HS diploma or equivalent required)
  • Strong customer service skills
  • 2-4 years of office experience
  • Strong verbal skills and ability to work as a proactive hands-on team player
  • Flexible, reliable, detail-oriented, and organized
  • Ability to allocate resources and manage priorities
