General Summary of Position:

This position is short-term, part-time. 

The Facilities Assistant will serve as business generalist for the Facilities Management department.  They will perform a variety of general administrative duties working with Business Operations in primary support of Facilities Management.

Broad based Administrative Support including but not limited to:

  • Respond to calls requesting service through the Facilities Service Center
  • Receive and dispatch urgent facilities related calls as required
  • Enter and close work orders (heavy data entry)
  • Records and processes incoming work requests, including key requests
  • Notify trades staff, supervisors or managers regarding facilities activities, requests for decisions
  • Convey a friendly and calm presence while demonstrating a sense of urgency for prompt and accurate response to emergency notifications (fire, flood, loss of power, etc.)
  • Use a basic understanding of facility operations and strong problem solving skills for quick and accurate response to routine calls and concerns.
  • Dispatch workers to respond to facilities concerns.
  • Provide back-up coverage for receptionist
  • Interface with vendors to arrange service or assist with procurement requirements.
  • Qualified person needs strong understanding of time sensitive priorities and capable of making rapid calculations in assessing multifaceted issues
  • Reserve and release conference rooms as needed when scheduling meetings
  • Manage confidential data related to human resources transactions for the team including recruitment assistance, processing personnel actions as directed
  • May assist with timekeeping and reporting

Minimum Qualifications (Required):

  • High school diploma or GED/equivalent
  • Three years’ experience in a professional office setting with similar duties or other related experience
  • Excellent interpersonal skills and a positive telephone manner
  • Detail-oriented self-starter who and is responsive to immediate requests, and has the ability to effectively handle a variety of tasks in an organized fashion and follow through
  • Must be comfortable working with employees across the organization
  • Highly tech savvy with excellent computer skills
  • High level of confidentiality and sensitivity
  • Must have the ability to multitask and prioritize tasks in a fast-paced and ever-changing environment
  • Excellent written and oral communication skills
  • Demonstrated ability to convey a friendly and calm presence while demonstrating a sense of urgency for prompt and accurate response to emergency notifications (fire, flood, loss of power, etc.)

Preferred Qualifications:

  • Associate’s degree or higher
  • Practical familiarity with PeopleSoft or other ERP systems
  • Familiarity with R25 scheduling software a plus
  • Familiarity with HRIS systems
  • Practical knowledge of Kronos timekeeping systems or similar systems
  • Experience working in a Facilities Department or similar department

Special Instructions to Applicants:

This is a part-time position, estimated at 12-18 hours per week (non-unit, non-benefited).  Working hours will be 9 AM to 3 PM, on the days specified by the university.  Does not include weekend work.
