General Summary of Position:
HEROES (Harnessing Emerging Research Opportunities to Empower Soldiers) is a unique collaborative research and development initiative between UMass Lowell and the U.S. Army Combat Capabilities Development Command (CCDC) Soldier Center in Natick MA. The role of the Research Grants and Awards Specialist is to facilitate coordination of collaborative research and development activities at the HEROES Initiative, the Center for Advanced Materials (CAM), and Fabric Discovery Center (FDC) through preparation of pre-award budgets and proposal submission activities, as well as post-award management, i.e., tracking impact and adherence to milestones in funded projects. The position will primarily facilitate preparation of budgets (pre-award) for faculty members associated with these centers, and other external partners including industry, while interfacing closely with the Office of Research Administration at UML. More broadly, the position involves implementing the strategic vision of the CAM, HEROES and FDC by assisting in proposal preparation, project review, and tracking progress as well as providing feedback to faculty members & external partners.
Proposal Development (pre-award): Serve as liaison between HEROES, CAM and FDC, assisting faculty members and external agencies / companies with the preparation of proposals for submission to the Office of Research Administration (ORA)
- Review and interpret proposal guidelines
- Facilitate preparation of white papers/concept papers, proposals and proposal budgets for CAM, HEROES and FDC for projects with CCDC, Manufacturing USA institutes, other DoD partners and industry. Serve as the interface between CAM/HEROES/FDC and ORA.
- Coordinate with faculty to identify engaging industry partnerships
Grant Management (post-award): Monitor the need for and process approval requests such as no cost extensions, carry forward of unobligated balances, reduction of effort. Identify need for additional funds or cost transfers. Liaison with sponsor to resolve questions and issues with contracts and grants and to obtain amendments to awards such as re-budgets, additional funding and extensions. Review projects to determine if close-out requirements have been met. Prepare modifications to existing awards to indicate changes in contract terms. Track impact of projects:
- Ensure deliverables are being met in accordance to milestones.
- Track and collect reports from faculty members and submit to DoD
- Coordinate project road-mapping.
- Coordinate project reviews, providing feedback to faculty.
- Track overall impact of projects and programs for HEROES and FDC.
Outreach and Networking: Facilitate multidisciplinary exchanges and multicenter collaborations for active research and development activities.
- Help in enhancing participation of faculty members in HEROES and FDC activities by matching funding opportunities with needs and expertise of research faculty.
- Enhance overall UML visibility of HEROES and FDC by updating website pages and social media platforms in collaboration with research communications and events specialist.
- Develop and strengthen the HEROES’s and FDC’s network by contributing to “enlightened bites” sessions, workshops and conferences.
- Work closely with the Office Managers at HEROES, staff of Fabric Discovery Center, grant and contract administrators at College of Engineering and Sponsored Research Administrator at the Office of Research Administration at UML.
Minimum Qualifications (Required):
- Bachelors Degree, in engineering or science discipline or a related field
- Three to five years of experience in Grants and Contracts Administration; budget and scientific proposal preparation; knowledge of federal, state & general funding agency rules and regulations
- Strong proficiency with Microsoft Excel, good working experience with Microsoft office and project management software
- Ability to communicate effectively with faculty, government partners and industry and maintain confidentiality of communications
- Understand project requirements, coordinate with resources and direct the projects in the right direction in a timely manner
- Masters degree preferred
- Experience in Grant and Contract Administration in a Higher Education setting
- Experience with Department of Defense, Department of Energy and National Science Foundation proposals
- Experience using indirect cost rates in proposal budgets
- Strong written and excellent communication skills and strong interpersonal skills in order to interact with faculty, staff and industry partners outside the University
- Ability to work with little direct supervision
- Ability to manage multiple priorities and work under pressure of deadlines; Strong math skills
- Experience in research funding in any of the following fields: engineering, chemistry, science, technology
- Independent and self-motivated, entrepreneurial spirit, able to handle complex and sensitive issues across diverse groups
