Financial Administration Manager, Student Affairs

General Summary of Position:

The Financial Administration Manager, Student Affairs will provide oversight and day to day management of the financial operations for departments recognized by the Divisions of Student Affairs and Wellbeing, Student Affairs and Experiential Learning, as well as Equity and Inclusion. This role establishes and maintains an active, engaged presence to sustain and grow strong collaborative relationships within these divisions as well as campus partners. This role will exercise independent judgement and act on behalf of the Student Affairs in representing the university.

Specific Responsibilities of this position include:

  • Financial and procurement operations – ecommerce management, cash management, journal processing, account reconciliation (operating, restricted, unrestricted accounts), bank card reconciliation, purchase order and invoice processing, initiating travel and processing expense reimbursements, and monitoring of internal controls. Account reconciliation across financial systems. Create new accounts and request new suppliers as needed to maintain business operations.

  • Financial reporting and forecasting – Maintain accurate, individualized financial reporting and forecasting for departmental budgets, both operating and discretionary, on a monthly and quarterly basis. Provide trend analysis and reporting on student spending for various programs. Assist in annual budget requests and projections.

  • Contract and grant management – Serve as liaison for departments and campus dining contractors in requesting contracts through the unified procurement services team ensuring compliance with university and state policies. Monitor contract expenditures for compliance with the contract throughout term with invoices and renewals. Assist in expenditure of awarded grants within written grant terms and conditions.

  • Financial Analysis – Analyze spending and revenue for trends, establish needs of individual operations and provide recommendations for streamlining processes, provide insight into setting projections for both departments and campus dining financials.

  • Customer services and documentation - Provide high-quality customer service as resource to professional staff on university policy, university procurement systems, and state procurement laws. Maintain compliant financial records for business operations with state and university policies. Supervise student employees in general accounting and procurement functions. Promote fiscally smart practices to departments.

Minimum Qualifications (Required):

  • Bachelors of Science Degree in Business or related field
  • 3-5 years experience in purchasing/procurement area, basic accounting and contract analysis or related area
    • will consider candidates with H.S. Diploma or GED/equivalent and  7-10 years of related experience
  • Experience with Massachusetts State procurement laws for goods and services
  • Ability to collaborate and develop strong business relationships with both internal and external key stakeholders
  • Proven knowledge and ability to use PeopleSoft, Excel, and Microsoft Office Suite

Preferred Qualifications: 

  • Experience in budget management and auditing, long range planning, and billing receivables and payables
  • Ability to prepare reports and maintain accurate records of all budget related materials
  • Knowledge and ability to utilize University technical systems and PC programs to monitor and administer budgetary responsibilities
  • Ability to plan, organize and complete assigned responsibilities in an efficient and thorough manner
  • Written and oral communications skills
  • Problem-solving and decision- making skills
