General Summary of Position:

The Program Coordinator will support the operational management of River Hawk Scholar Experience Distinction, Immersive Scholar, Moloney Student Fellowship, service learning and additional experiential learning programs. The Program Coordinator will be assisting key operational work as assigned by the Assistant Director, Experiential Learning Signature Programs. The Program Coordinator will maintain administrative activities and support day to day tasks related to programs including recruitment, enrollment, administrative support, marketing, student advising, and additional tasks as related to the programs.

Essential Job Duties:

Program administration (recruitment, enrollment, completion):

  • Coordinate marketing and outreach to the campus community.
  • Respond to phone & email inquiries in a timely manner.
  • Compose communications to students regarding their current status.
  • Ensure compliance with financial aid policies and employment policies.
  • Present program overviews to current and prospective students.

Student advising:

  • Advise students on experiential learning options based on student goals.
  • Support participating students while engaged in an experiential learning program.

Data management:

  • Develop and maintain tracking process to ensure organization of student engagement and host site partnerships.
  • Update participant files as needed.
  • Prepare participation reports.

Departmental operations:

  • Ensure that hours and program requirements are tracked and fulfilled.
  • Coordinate with campus partners including Student Employment, Financial Aid, Registrar, Provost’s office, and Employer Relations to ensure policy and procedural compliance, and host site engagements are monitored.
  • Coordinate committee meetings.
  • Work closely with others to plan and manage events.
  • Prepare materials for marketing, orientation, and annual reports.

Other duties:

  • Assist in ensuring all policies and procedures are upheld.
  • Attend and participate in team and department meetings.
  • Maintain an open line of communication bringing all questionable or “red flag” situations and matters to the Assistant Director or Director.
  • Assist in the efficient execution of operations of programs.

Minimum Qualifications (Required):

  • Bachelor’s degree or higher
  • 2 years or more of administrative support experience

Additional Considerations:

  • Excellent time management skills
  • Strong inclination for customer service
  • Ability to multitask
  • Strong organizational skills
  • Strong verbal, written and interpersonal communication skills
  • Proficient with computers and office technology (Word, Excel, PowerPoint, Salesforce, etc.)

Preferred Qualifications:

  • Experience in higher education, working with college students, or working with experiential learning programs is highly desirable
