General Summary of Position:

The Office of the Registrar is the official keeper of academic records and is committed to the highest level of service.  The Office of the Registrar is also responsible for registration services, scheduling, academic progression, graduation, administrative operations and reporting. As a primary information resource for students and faculty this office actively seeks ways to effectively communicate and to inform students of their rights, responsibilities and academic procedures in an effort to support students’ success.  

The Senior Assistant Registrar for Advisement Reports & Degree Planning is responsible for creating, supporting and coordinating the maintenance of the Academic Advising Reports within SiS. This includes advising reports for all academic programs offered at the University of Massachusetts Lowell through undergraduate, graduate and Continuing Studies. In collaboration with the Associate Registrar for Academic Progression, the Coordinator of Academic Progression will work with academic departments to process student exceptions and help in the development of the advising report as a tool to support academic advising as well as to aid in supporting the academic progression of students and timely degree completion and graduation. In addition. The Senior Assistant Registrar for Academic Progression will help to facilitate training and workshops for academic departments as it relates to using the advising reports and graduation tracking.  

Essential Job Duties:

1. Provide leadership in the development and maintenance of the advising report in SiS for each academic department for every major/option/minor and additional major (double majors). Including providing workshops and trainings for academic departments on the advising reports and graduation tracking.

2. This is a technology-focused position that assists the associate registrar in analyzing and defining requirements for technology supporting the UMass Lowell Degree Pathway, and serves as the primary contact for testing and implementing the requirements. Provides expertise in data and analytics related to the technology support of the Advisement Reports. Assists the graduation plan curriculum analyst to analyze graduation plans (curricular and experiential pathway) to ensure compliance with approved curricular requirements and appropriate milestones to provide an engaging experiential learning opportunity for the student.

3. Coordinate customizing and testing the advising report layout and new advising reports for those students entering the University under the new degree requirements.  Review Academic Catalog and research issues and process student exceptions.  Monitor and maintain the accuracy of new and continuing student academic records including major changes, repeat processing, and transfer articulations.

4. Collaborate with the Academic Progression Team to automate the degree clearance process through the use of the Academic Advising Report. This includes the Graduation Readiness Project each semester aimed at identifying students who are within a semester of graduation.

5. Assist with other special projects within the Registrar’s Office duties. Document all Business processes.

Minimum Qualifications (Required):

  • Bachelor’s Degree with a minimum of 5-7 years related experience in higher education, academic policies, Academic Advising Report, graduation clearance, and transfer credit.
    OR, on lieu of Bachelor’s degree, consideration will be given to those with 7-10 years of related higher education experience in a professional capacity.
  • Experience with PeopleSoft or other student information systems
  • Experience and comfortable with training and providing informative
  • Experience with relational database, Microsoft Word, Excel, Access, File,
    OBIEE (summit) reporting, and document Imaging software
  • Experience with writing PSQuery

Preferred Qualifications:

  • Comparable Higher Education Experience
  • Student Information Systems experience preferred
  • Ability to respond to difficult situations diplomatically
  • Ability to multitask and work effectively in a fast-paced environment
  • Knowledge of (FERPA) Family Educational Rights and Privacy Act
  • Ability to perform all related Office of the Registrar tasks
  • The ability to work effectively with diverse groups
  • Must be able to communicate with faculty, staff and students in a highly effective and professional way
