General Summary of Position:

The Alumni & Donor Relations Coordinator will assist in executing event logistics and donor relations and stewardship projects.  They will work with the Executive Director of Alumni & Donor Relations and the Events & Stewardship Managers to determine strategies and priorities. They support event planning and volunteer activities for school and college programming. This position will also assist stewardship in tracking reports, thank you notes, ordering gifts, compiling packages for development officers to give to donors, and reviewing lists for donor relations mail merges.  

Provide Strategic Support and Coordination for School & College-Based Events:

  1. Track signature events and meetings, as needed: Departmental Anniversary Events, College Appreciation Nights, Advisory Board meetings.
  2. Create nametags for events; coordinate event check-in.
  3. Assist event manager delivery of items, coordination of volunteer timelines.
  4. Ensure coding of relevant events is completed and follow up communication lists are ready.

Assist with Donor Stewardship initiatives:

  1. Create endowment certificates and track process.
  2. Track donor recognition gifts.
  3. Enter thank you notes into Advance database on donor records.
  4. Track Reports and prepare lists for mail-merges with excel.

Other event and office support:

  1. Monitor Alumni Office Email/Voicemail and respond to or forward inquiries from alumni in a timely manner.
  2. Assist other Alumni staff members with office administrative work, i.e. make copies of agendas, prepare meeting materials.
  3. Create online photo galleries post-events, share with development team for them to forward to relevant donors.

Minimum Qualifications (Required):

  • HS Diploma or GED/equivalent with Bachelor’s degree preferred
  • Excellent communication skills, including proof reading
  • Ability to coordinate multiple projects and work assignments from a variety of staff
  • Excellent interpersonal skills both in person and by phone, with high professionalism
  • Ability to meet frequent deadlines
  • Minimum of 1-3 years in an office setting
  • Demonstrated knowledge of general office practices, procedures and technologies, including word processing, spreadsheets and databases (Microsoft Office)

Skills:

  • Strong communication and organizational skills, attention to detail, and follow-through and the ability to manage multiple tasks in order to effectively perform duties
  • Know or have the ability to learn new software
  • Willingness to work some evening and weekend hours to support University’s Programs and Events
  • Ability to exercise judgment and discretion in applying and interpreting departmental policies and procedures
  • Ability to respond to difficult situations diplomatically and represent the Division in a professional and appropriate fashion
  • Ability to relate effectively with departmental and university staff, with vendors, and with the general public
  • Proven ability to determine and accomplish short and long-term goals
  • Travel coordination experience

Additional Considerations:

  • There will be some night and weekend work depending on the event season
  • Flexibility to work environment. No set routine

Preferred Qualifications:

  • Alumnus/a of the university is preferred
