General Summary of Position:

The Facilities Personnel Specialist provides confidential broad based human resource management support under the guidance of the Executive Director of Facilities Business Operations. This position is key to supporting the entire department in matters of personnel and the employee life-cycle. May assist in administrative support for multiple directors and managers within the Facilities Management Department performing wide array of diverse responsibilities that are vital to the smooth operation of human resources of the Facilities Management Department. 

Minimum Qualifications (Required):

  • Bachelor’s Degree in business, finance, HR or related subject or equivalent experience working in HR and 3 years related business experience; or Associates Degree in business, finance, Human Resources or related subject and 5 years related business experience or a High School diploma/or GED or equivalent and 7-10 years directly related business experience
  • 2+ years of experience working in Human Resources or similar office on a full time basis with progressive knowledge of related human resources functions
  • Proven ability to maintain professional and productive relationships with a wide range of internal and external customers
  • Proven experience gathering and analyzing data, determine applicability, and draw appropriate conclusions
  • Proven experience maintaining accurate records and generating corresponding reports
  • Ability to assess work priorities, arrange work accordingly, and meet deadlines
  • Strong working knowledge of Microsoft Office suite of programs, including Word, Excel, PowerPoint, Outlook
  • Ability to understand and follow complex oral and written instructions
  • Ability to work independently on regular tasks and on special projects when assigned
  • Proven experience working with confidential communications while maintaining a high level of professionalism
  • Proven experience providing excellent customer service and to be attentive to the diverse needs of those using HR services
  • Ability to multi-task and to work effectively with frequent interruptions
  • Working knowledge of federal and state laws impacting personnel

Additional Considerations:

  • Experience in Kronos Timekeeping systems or similar
  • Experience in HR Direct or similar
  • HR Certification (PHR, SHRM-CP)
  • Experience in higher education
  • Experience in managing job searches and on-boarding employees
  • Experience assisting in HR matters in a union environment
  • Experience in FMLA and other leaves
