General Summary of Position:

The Administrator of CPH-NEW (Center for the Promotion of Health in the New England Workplace) coordinates day-to-day activities and oversees all major initiatives of the Center, reporting to the Center Director.
This position is to be filled as soon as possible and is currently available through 8/31/2021. Continued employment is possible, contingent on future funding.


  • Provide administrative support and assistance to the Center Director, staff and RA's
  • Maintain files and archive information for future reference
  • Schedule meetings, take and circulate minutes for CPH-NEW Steering Committee (weekly), External Advisory Committee (1 time, May 2021), and all Center personnel (1 time, May 2021).
  • Maintain up-to-date list of Action Items and related files for each group.
  • Communicate with persons at collaborating and affiliated institutions. Plan and organize any other meetings/events
  • Ensure good communications among all center participants working on the diverse activities
  • Build and maintain internal partnerships across the University and in external partnerships when required
  • Liaise with IT, Human Resources, Procurement, Dean’s office, & Biomedical Engineering Dept.
  • Maintain the CPH-NEW website, faculty and staff pages, News and Events section, Center bibliography of published journal articles, etc. 
  • Regularly check and respond to CPHNEW email inquiries
  • Update CPHNEW social media platforms
  • Maintain inventory, order office & data collection supplies; print and copy orders for data collection materials
  • Manage and maintain Brainshark learning management system
  • Support production of CPHNEW Outreach newsletter
  • Support production of research grant applications
  • Supervise 1-2 work-study student(s)
  • Collect and file Research Assistant (RA) timesheets
  • Assist with managing Center space and facility issues as needed
  • Assist faculty, staff and students with related matters as needed

Duties not current/not anticipated before 8/31/2021:

  • Schedule meetings, take and circulate minutes for SHIFT Team
  • Hire and train new work-study student(s) as needed
  • Update personnel biosketches; update CPH-News and Views; maintain Center EndNotes library
  • Interact with Center Research Affiliates
  • Generate reports to funding agency, regular reports to study sites, and manuscripts for peer reviewed journals; generate reports to Vice Provost of Research, Academic Dean, etc.
  • Assist in developing and coordinating standard operating procedures
  • Supervise 2 student employees (average)
  • Maintain a clean office environment with well-organized electronic and hard-copy archives

Minimum Qualifications (Required):

  • Bachelor’s degree
  • At least 5 years experience as a Project Administrator or Executive Secretary or comparable position, preferably in an academic or non-profit research environment
  • Good written and oral communication skills
  • Demonstrated familiarity with Windows-based computer applications: word processing, spreadsheets, financial management, Adobe Acrobat, procedures for web, e-mail, publications, and presentations
  • Evidence of success in project management and event planning: well-organized, able to multitask, able to supervise effectively
  • Ability to work moderately independently; good problem-solving and analytic skills; flexibility and ability to prioritize; delegation skills; ability to collaborate with diverse individuals in a highly professional manner
  • Grant-writing experience is desirable but not required
  • Experience with TeleForm data entry software and/or Endnote bibliographic software is desirable but not required
