General Summary of Position:

The Graduate Enrollment Advisor will manage graduate student re-enrollment campaigns in the Division of Graduate, Online & Professional Studies. The successful candidate will develop and implement the operational and technological processes that support the outreach, advising and re-enrollment activities conducted throughout the year by the Graduate Students Services Office. She/he will deploy and manage recruitment, enrollment and student service activities implemented to support the attainment of Division graduate student enrollment goals. The Graduate Enrollment Advisor is expected to create replicable processes that can be scaled and measured across the Division, and provide regular reporting on graduate student enrollment trends.

Essential Job Duties:

Service Operations:

  • Devise, develop, and deploy a 12 month enrollment outreach calendar and regular enrollment outreach campaigns that align with Division enrollment goals 
  • The plan should establish a cycle for outreach, and utilize multi-modes of contact (e.g., email, voice, text) and the campus CRM
  • Work directly with CRM functional and technical staff to develop coding, tracking, and dashboards in the CRM to streamline operations and improve efficiency

Enrollment & Retention:

  • Work with Division leadership, academic departments and graduate coordinators to identify annual enrollment targets and priorities
  • As part of improving enrollment targets, the advisor will focus on monitoring and improving graduate students retention
  • The advisor will track and report on progress towards retention and enrollment targets throughout the year, will identify areas of concern in regard to enrollment and retention and will suggest and then develop plans to address enrollment concerns

Degree Progress:

  • Work with Director, graduate coordinators, and registrar staff to develop and integrate degree pathway information in SIS, in order to improve efficiency of graduate student advising, tracking, and degree clearance

Progress Reporting:

  • Work with Division leadership and Director to develop and maintain performance indicators and metrics, custom reports and dashboards to enable data-driven decisions and informed advising and tracking activity for graduate services


  • Create and maintain documentation of all processes related to enrollment operations for the office and develop training materials

Other Job Duties:

  • Performs other related duties as assigned.

Working Conditions:

  • Position may involve attendance at meetings at the different campuses or off-site, networking with experts at other UMass campuses or with peers at other institutions. May also require participation in evening or weekend events occasionally.

Minimum Qualifications (Required):

  • Masters Degree required
  • Minimum of 3 years of experience in higher education working across academic departments with students, faculty, and administrators
  • Demonstrated ability to manage multiple short-term and long-term projects
  • Ability to examine and improve processes to increase efficiency
  • Demonstrated ability to provide regular and timely reports and analysis
  • Ability to learn and then optimize use of a CRM to improve advising and student services from both a student and faculty/coordinator perspective
  • Excellent oral and written communication skills

Additional Considerations:

  • Demonstrated ability to work with and advise students with various and diverse backgrounds
  • Project Management Certification desired
  • Demonstrated ability to work independently in a changing, fast paced environment
  • Strong project management skills
