Job Summary

The Coordinator, Fraternity and Sorority Life, supervised by and collaborating with the Director Greek Affairs, will advise, support and direct the assigned governing councils and fraternity/sorority chapters, overseeing their general activities and assisting with event development and management, leadership, accountability, and budget oversight. These activities and events touch on both recruitment of new students and retention of current students, in keeping with the larger goals of the university. Advisement on student-initiated event planning includes risk, travel, and budget management. Maintain a central focus on risk management and compliance resource development and training, while promoting and supporting opportunities for members, student leaders, and student staff to gain experience in recruitment and retention efforts, event management, collaboration with various constituencies, and event and program assessment. Participation in on-call staff rotation and supervision of night and weekend events are required. Supervise staff including student employees.

 

Essential Functions

  • Develop effective, positive working relationships with fraternity and sorority leaders and designees; review aspects of the chapter operations including risk management and compliance plans, leadership development, chapter programs, service, and related areas. Ensure that appropriate protocols are incorporated into all planning for events, travel, and related activity. Meet with them regularly and as needed to advise on and approve program and event development including budget and venue requirements. Duty includes contract negotiation and post-event assessment.
  • Serve as primary advisor to assigned fraternity/sorority governing councils, including program development, budget oversight, and leadership support. Develop programs and initiatives that support the evolving needs of students and organizations. Collaborate and interact with university and community agencies which have interests in the fraternity/sorority program.
  • Assist investigations of possible Code of Student Conduct violations, as needed. Assist with establishing and monitoring conduct standards, completion of sanction requirements, and education of student membership on Title IX, Clery Act and related federal compliance requirements, risk management protocols, event planning procedures, anti-hazing policy and related issues.
  • Assist with maintenance of records, membership, and accomplishments. Assist with creating, monitoring and assessing program outcomes. Assist with the general initiatives of the Student Engagement and Leadership (SEL) department/Student Affairs and Campus Life (SACL) division to plan and implement campus-wide programming, such as First Week, Homecoming, UMass Night Out, and New Student Orientation as a member of the student activities team. Participate in the on-call rotation and supervision of night and weekend events. Serve as departmental contact for assigned councils and chapters and as liaison to relevant university departments and programs. Participate in SEL monthly meetings, trainings and workshops, and seasonal functions. (other related duties as assigned).
  • Participate in developing and implementing standards, guidelines, policies, procedures and practices that inform risk management and mandated compliance requirements for fraternity and sorority chapters and the governing councils. Maintain contemporary knowledge of all applicable policies, laws, and codes (including the Code of Student Conduct) in order to ensure that this information is accurately reflected in materials as most current version(s) available. Ensure related updates and changes are reflected in all SEL information and materials and effectively shared with fraternity and sorority chapters in a timely manner.
  • Financial responsibilities are for amounts less than $100K in revenue operations, grants, gifts/endowments, general operating funds: apply and conform to internal financial policies to ensure transactions are processed properly (e.g. Tax, Human Resources, Legal, and Federal). Ensure accuracy of recorded data through the use of analytical reports and reconciliations. Utilize financial databases and systems to manipulate and analyze financial data for internal and external reporting and decision making. Develop and implement short-term and long-term funding options for strategic plans and ongoing operations. Recommend policy and procedure changes to ensure compliance with all applicable rules and regulations, including internal control.
  • Budget responsibilities are for amounts less than $100K in in revenue operations, grants, gifts/endowments, general operating funds: Develop budget to include forecasting; monitor and report variances/problems and recommend solutions. Develop budget to include forecasting, monitoring and reporting variances/problems. Has signature authority to implement solutions and release funds. Accepts an institutional responsibility for the university funds assigned. Has primary responsibility for budget and expenditures and final approval.
  • Required to work some nights and some weekends.

 

Other Functions

  • Perform related duties as assigned or required to meet Department, Executive Area/Division, and University goals and objectives.

Minimum Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Bachelor's degree in business administration, public administration or related field plus three (3) year of full-time work experience, post-undergraduate degree, in organizational advising and/or event planning and/or leadership development.
  • Understanding and familiarity with the fraternity and sorority movement.
  • Understanding of student communities and student activities.
  • Superior presentation and communication skills, and listening and speaking with individuals in group settings.
  • Excellent ability to establish positive and effective working relationships with diverse populations; possess sensitivity to culturally diverse and marginalized populations.
  • Proven ability to effectively manage multiple concurrent priorities within established time frames.
  • Knowledge and familiarity with harm reduction and risk management practices
  • Familiarity and level of comfort with Google Docs, MS Word, Excel, PowerPoint, and other productivity software.
  • Ability to lift 30 pounds and stand for long periods of time on a limited basis.

 

Preferred Qualifications (Knowledge, Skills, Abilities, Education, Experience, Certifications, Licensure)

  • Master's degree in higher education administration or related field plus one (1) year of experience concurrent with earning a Masters degree, same as above, in a university setting.

 

Physical Demands/Working Conditions

  • Ability to lift 30 pounds and stand for long periods of time on a limited basis. Driver’s license and traveling required.

 

Work Schedule

  • 37.5 hours per week, M-F
