Advancement Communications Assistant - University Advancement (part-time/non-benefited)

General Summary of Position:

The Advancement Communications Assistant will provide support for the AC Executive Director and team. The assistant will help with scheduling, tracking communications, proofreading and coordination, gathering and submitting content for print and online publications, as well as other office assistance as needed.

1. Provide administrative support for Advancement Communications team:

  • Process, track and respond to requests for communications work
  • Serve as a liaison to Advancement colleagues
  • Respond to requests from University staff and external contacts
  • Proofread and coordinate proofreading of communications pieces upon request
  • Coordinate photo galleries online and in the alumni magazine
  • Inventory and track communications collateral materials
  • Submit events for publication in UML’s daily announcements for faculty, staff and students

2. Assist Executive Director with his/her administrative needs:

  • Maintain calendar of appointments and special events
  • Process travel requirements and expense reports
  • Handle relevant correspondence

Minimum Qualifications (Required):

  • HS Diploma or GED/equivalent
  • Minimum of 1-3 years of experience in an office setting
  • Excellent communication skills, including proof reading
  • Ability to coordinate multiple projects and work assignments from a variety of staff
  • Excellent interpersonal skills both in person and by phone, with high professionalism
  • Ability to meet frequent deadlines

Additional Considerations:

  • Demonstrated knowledge of general office practices, procedures and technologies, including word processing, spreadsheets and databases (Microsoft Office)
  • Strong communication and organizational skills, attention to detail, and follow-through and the ability to manage multiple tasks in order to effectively perform duties
  • Know or have the ability to learn new software
  • Willingness to work some evening and weekend hours to support Advancement and University-related events
  • Ability to exercise judgment and discretion in applying and interpreting departmental policies and procedures
  • Ability to respond to difficult situations diplomatically and represent the Division in a professional and appropriate fashion
  • Ability to relate effectively with departmental and university staff, with vendors, and with the general public
  • Proven ability to determine and accomplish short and long-term goals

Preferred Qualifications:

  • Bachelor’s degree preferred
  • Travel coordination experience preferred
